The University of Canterbury Students’ Association (“UCSA”) respects your privacy and is committed to protecting it. We provide this Privacy Statement to inform you of our Privacy Policy and practices and of the choices you can make about the way your information is collected online and how that information is used. This website is governed in accordance with the laws of New Zealand. The New Zealand courts shall have exclusive jurisdiction over any dispte arising over your use of this website. The www.hardcard.co.nz website (“Site”) is owned by the University of Canterbury Students’ Association, 90 Ilam Road, Christchurch.
Data automatically collected
We may collect several types of information on our Site. We may collect "Personal Information", which is information that can be used to identify you individually, such as your name and address. We may also collect "Non-personal Information", which is information about you that does not itself identify you individually. Examples of Non-personal Information include age range and gender. We also may collect "Aggregate Information", which is information about use of our Site, such as pages visited on our Site. The information we collect depends on what services you use on our Site. The information contained herein is a more detailed explanation of these types of information as well as when and how we may collect and use it.
We may collect, compile, store, publish, promote, report, sell, or otherwise disclose or use any and all Aggregate Information, provided that, such information does not personally identify you. When we share such information with other companies, it is not traceable to any particular user, and will not be used to contact you. If we do correlate any Aggregate Information to you, such information will be treated like any other personal identifying information under this policy
We may log visitor's domain and IP address automatically; this information does not identify you as an individual, but only the computer that is being used to view the site. This data is used to see where the site is being used in the world to ensure coverage, and for click stream analysis to help better understand site usage, so that we can improve our service to you. We do not link information automatically logged by such means with personal data about specific individuals. Cookies are small text files that are stored on your computer as a result of visiting a web site. This allows the site to know that you have visited before and in some cases can be used to record your preferences.

- To help us track usage patterns in order to improve and manage our sites; and

- Session Cookies: These are temporary cookies that only remain until your browser is closed. They are used by our web application in order to maintain the information relating to your transaction from page to page following any input, such as when a form is completed over several screens.
- Web Analytics Cookies: These cookies are used to help us compile anonymous statistics in order to improve and manage our sites. An example of the information collected would be the path you used to gain access to the site and your patterns of browsing when navigating the site. They are 'persistent' meaning they are not deleted when the browser is closed and expire after a period of 2 years unless you visit the same site within the 2 year period in which case the same cookie is refreshed and a new 2 year period begins.
- lnformation Cookies: These cookies allow the site to remember how you have answered a question in order to change the content displayed to you. For example, if you have already taken a survey this cookie will ensure you are not asked again. They are 'persistent' meaning they are not deleted when the browser is closed, and expire after a period of 2 months.
- Membership Cookies: These cookies are used to provide you with access to membership services you have subscribed to. They are 'persistent' meaning they are not deleted when the browser is closed, and expire after a period of 2 months.

Data collection and use
When you request information through this site, we may need to know some personal information about you. Your personal data will be processed to provide information, goods, products and services you request in the form that you require.
We may appoint third party organisations to assist us in providing you with the information, goods, products and services you request. In these circumstances, we will take steps to ensure that your personal information is held in strict accordance with our privacy policy and is only used for the purpose of fulfilling your request.
We may use, sell, disclose, or otherwise dispose of Personal Information we collect in the following circumstances:
- Internal Analysis and Promotions. We may use information about you for our own internal statistical, design and operational purposes such as to estimate our audience size; measure aggregate traffic patterns; and understand demographic, customer interest, purchasing and other trends among our guests and customers. We may also use your Personal Information for the marketing and/or promotion of our products or services. We may outsource all of these tasks to third parties on a confidential basis.

Legal Requirement. We may disclose personal information if required to do so by law or in the good-faith belief that such action is necessary to:
- conform with the law, respond to claims or comply with legal process served on the UCSA or the Site;
- protect and defend our rights or property, the Site, our employees, guests or the public.
- Ownership/use by the UCSA. Information collected through our Site is owned by the UCSA and may be used by us.
- Sale. Information collected through our Site is owned by and considered a trade secret of the UCSA. The UCSA may disclose or sell such information as an asset of the company in conjunction with the sale to a third party of the UCSA or a portion of its assets.
Except as set out above, we will not pass your details to anyone else outside the UCSA without your permission. If we look to use your personal data for a new purpose, beyond what it was originally provided for, we will ask for your consent.
Data retention
Data will be held for the lifetime your subscription is active for the purposes of contacting you effectively after which time it is depersonalized and non-identifiable. We do not collect any additional information about you other than that outlined above.
Access to your personal data
To enquire about accessing your personal data, or if you have any questions relating to this privacy statement please email hardcard@ucsa.canterbury.ac.nz using this link, or by post at the following address University of Canterbury Students’ Association, 90 Ilam Road, Christchurch.
We will provide you with a readable copy of the personal data that we keep about you, within 40 days; we will require proof of your identity. We allow you to challenge the data that we hold and you, where appropriate, you may have the data: erased, rectified, amended or completed. We reserve the right to refuse to provide our visitors with a copy of their personal data, but will give reasons for our refusal having regard to the Privacy Act 1993. You will be able to challenge our decision to refuse to provide you with a copy of your personal data.
Disclosure and Visitor choice
You may unsubscribe or opt-out of services at any time, details of how to opt-out can be found on the site. It is generally a simple process. Where we disclose your personal data for those purposes stated, we provide you with the means to opt-out of disclosure by either indicating in a box at the point of the site where personal data is collected, by sending an email to or by sending postal mail to this address
If you no longer wish to receive our newsletter and promotional communications, you may opt-out of receiving them by following the instructions included in each newsletter or communication or by emailing us. Where we disclose your personal data for purposes which are different to those stated we offer you the opportunity to consent prior to disclosure.
Security
We have implemented security policies, rules and technical measures to protect the personal data that we have under our control that complies fully with data privacy & protection legislation appropriate to the jurisdiction applicable to the site. The security measures are designed to prevent unauthorised access, improper use or disclosure, unauthorised modification & unlawful destruction or accidental loss. At present we do not give visitors to our Web site the option of using a secure transmission method to send us their personal data.
Children
The UCSA is committed to protecting the privacy needs of children and we encourage parents and guardians to take an active role in their children's online activities and interests. The UCSA does not knowingly collect information from children and the UCSA does not target its websites to children.
Privacy compliance
If we decide to change our privacy statement, we will update the privacy statement to reflect the changes on the homepage, and other places we deem appropriate so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We reserve the right to modify this privacy statement at any time, so please review it frequently. If we make material changes to this statement, we will notify you here, by email, or by means of a notice on our homepage. Data privacy legislation is subject to revision and we strongly suggest that you regularly check our privacy statement.
